n8n vs Zapier: When Switching Actually Saves Money

n8n vs Zapier in 2026: Zapier bills every action step, n8n bills whole runs or nothing at all. The math that tells you when switching pays.

On this page

A parking meter doesn't care why you parked.

Five minutes or five hours, dropping off a package or sitting through a movie. It just counts.

Zapier is a parking meter with a very good sense of humor about quarters. Every step your automation takes is a coin.

n8n is closer to a parking garage with a monthly pass. And if you self-host it, you own the garage.

Neither is a scam. They just count differently, and once you know how, the choice is mostly arithmetic.

Short on time? Few runs and simple two-step automations: stay on Zapier. Multi-step workflows running hundreds of times a day: n8n will almost certainly cost less, and self-hosted n8n costs the server plus upkeep, not a per-run fee.

How each one counts

Zapier counts tasks. A task is one action step that runs successfully. Triggers don't count. Filter and Paths steps don't count. Steps that never run (because a filter stopped the Zap) don't count. Everything else does.

n8n Cloud counts executions. One execution is one complete run of a workflow, whether it has two nodes or twenty.

Self-hosted n8n counts nothing. The Community Edition has no execution limit. Your cost is the server and the time to look after it.

That difference is small for a two-step Zap and huge for a five-step one:

Same workflow, two metersOne run: 3 Zapier tasks, 1 n8n executionZapier bills every action step that runs. n8n cloud bills the whole run once.
  1. TriggerNew form entryfree
  2. FilterSkip test entriesfree
  3. ActionCreate CRM contact1 task
  4. ActionPost to Slack1 task
  5. ActionAdd a sheet row1 task

In n8n Cloud, all five steps together are 1 execution.

Zapier, 1,000 runs a month

3,000 tasks

Past the 2,000-task tier

n8n, 1,000 runs a month

1,000 executions

Fits the 2,500 Starter plan

The prices, side by side

As listed in September 2026, with monthly billing:

PlanMonthly priceWhat you get
Zapier Professional$29.99750 tasks
Zapier Professional$73.502,000 tasks
Zapier Team$103.502,000 tasks, up to 25 users
n8n Cloud Starter€242,500 executions
n8n Cloud Pro€6010,000 executions
n8n Community (self-hosted)€0 + serverNo execution limit

Annual billing is cheaper on both (Zapier Professional drops to $19.99 and $49; n8n to €20 and €50). Both companies change plans regularly, so check Zapier's pricing and n8n's pricing before you decide. The full n8n breakdown is in n8n pricing 2026.

Do the math on your own Zaps

You need two numbers from your Zapier dashboard: tasks used last month, and how many times your Zaps ran.

Then:

  1. Tasks ÷ runs = actions per run. If that is 1 or 2, your Zaps are simple and Zapier's pricing is working in your favor.
  2. If it is 3 or more, n8n Cloud counts the same work as a third (or less) of the units.
  3. Now compare plans at your volume. 1,000 runs of a three-action workflow is 3,000 Zapier tasks, which is past the 2,000-task tier. In n8n Cloud it's 1,000 executions, inside the €24 Starter plan.

One rule of thumb that holds up: the more steps per run, the more n8n saves. Volume multiplies it.

When switching does NOT save money

Switching has costs that don't show up on a pricing page:

  • Rebuilding takes time. There is no official Zapier-to-n8n import. Every Zap is rebuilt by hand, and every app connection is authorized again.
  • Integrations. Zapier connects to thousands more apps out of the box. n8n covers hundreds and reaches the rest through its HTTP Request node, which means reading an API's docs instead of clicking a dropdown.
  • Who fixes it. Zapier is a service. Self-hosted n8n is a server, and servers need updates, backups and somebody to call when they stop.

So stay on Zapier if you run a handful of simple Zaps, your bill is under what an n8n plan would cost, or nobody on the team wants to own an automation tool.

When switching clearly pays

  • Multi-step workflows that run hundreds of times a day.
  • Task overages. If you regularly go over your tier, Zapier's pay-per-task pricing adds up fast.
  • Private data. Self-hosted n8n keeps customer data on a server you control.
  • Logic-heavy work. Loops, branching, code steps and retries are first-class in n8n.

How to switch without breaking things

  1. Start with the Zap that costs the most tasks, not the one that's easiest to rebuild.
  2. Run both side by side for a week. Turn the Zap off only when n8n's executions match its runs.
  3. Set WEBHOOK_URL if you self-host, or the webhook URLs you paste into other apps will point to localhost. (Here's the fix.)
  4. Back up n8n's database and its encryption key before the first real workflow depends on it.

The bottom line

Zapier sells convenience by the step. n8n sells control by the run, or for the price of a server.

If your automations are short and rare, keep feeding the meter. If they're long and constant, it's time to get the monthly pass.

P.S. Send me your tasks used and runs from last month's Zapier dashboard. I'll reply with whether switching would save you money, in one message. Free, and "stay on Zapier" is a perfectly good answer.
